Think wider: not just helpers but other potential allies, supporters, or people who you'd rather have on your side than against you.
Think of people in your university who may be able to give support, or would be happier being kept informed than not.
What about talking to the external relations department? They may be able to help advise you or sharpen up your skills in promotion. You will definitely want them on your side if something goes wrong and the media descend on your college.
What about other units - fundraising or development officers, welfare officers, disability people who can help advise on accessibility, student welfare officers, other student groups?
Would it be a good idea to contact a senior administrator or senior academic to brief them on your event and activities, ask for their advice or opinions because of their experience and wisdom (they like this), or even if appropriate give a welcoming speech?
If you are dealing with controversial issues, political issues, emotive issues, or anything likely to attract hard-core elements; think about what you can do to get support or back-up for security or managing anyone who might become disruptive.
You will also be gaining respect and profile for your group within your university by doing this, especially if you keep relations positive and professional.
